NOVA Smile (hereafter "we", "us") takes the protection of your personal data seriously. This policy explains what data we collect when you use our website and services, and how we use it — in line with the EU General Data Protection Regulation (GDPR).

2. What we collect

  • Contact and booking details — name, phone number, email address and optional message when you book an appointment or contact us.
  • Technical data — anonymised usage statistics (pages visited, device type, approximate region) collected via cookies.
  • Medical information — we only ask for health details during a treatment consultation in person, never through this website's forms.

3. Why we use your data

  • To arrange and confirm appointments (contract basis, Art. 6(1)(b) GDPR).
  • To answer your enquiries (legitimate interest, Art. 6(1)(f) GDPR).
  • To improve our website using anonymised statistics (consent, Art. 6(1)(a) GDPR).

4. Who we share it with

Your data stays within our clinic and our booking and hosting service providers, who are bound by data processing agreements. We never sell your data.

5. Retention

Appointment data is kept for the period required by German medical record retention rules. Contact enquiries are deleted after one year unless a treatment relationship begins.

6. Your rights

You may request access, correction, deletion, restriction or portability of your data, and object to processing. To exercise these rights, email hello@novasmile.de. You may also lodge a complaint with the Berlin data protection authority.

Our website uses two categories of cookies, which you can control via the consent banner.

Essential

Required for the website to function, such as remembering your cookie preference. These cannot be disabled.

Analytics

Anonymised statistics that help us understand how visitors use the site so we can improve it. Only placed with your consent.

You can change your choice at any time by clearing your browser cookies and reloading the site.

Terms of treatment

Booking an appointment through our website is a request, not a confirmed appointment. We confirm each booking by email or phone. For emergency situations, always call +49 30 555 17 00 first.

  • Please arrive 10 minutes early for your first visit to complete registration.
  • If you cannot keep an appointment, please let us know at least 24 hours in advance.
  • Treatment plans and costs are always discussed and agreed with you before any procedure begins.
  • Statutory and private health insurance coverage varies by treatment — we will confirm costs with your insurer where needed.
